Course description

This course trains Star Sport administrators to manage their daily responsibilities with clarity, structure, and accountability.

Admins will learn how to read and act on the CRM dashboard correctly every morning, understand which tasks must be completed before end of day, and which are ongoing priorities that require consistent effort throughout the shift.

The course focuses on the two most important daily priorities of every admin — tryout calls and kids left calls — and explains why these must continue throughout the day regardless of location: office, school, or venue.

Admins will also learn how to:

•  Identify and act on every widget in the daily CRM dashboard

•  Prioritise correctly when multiple tasks compete for attention

•  Process new registrations accurately from start to finish

•  Manage tryout stages, follow-ups, and debrief procedures

•  Record attendance, follow up on absences, and log outcomes

•  Carry out venue duties including safety, setup, and student pickup

•  Close every day with zero outstanding Must-Be-Zero tasks

•  Escalate issues correctly when they cannot be personally resolved

The operational discipline of this course is based on one core rule:

If it is not in the system, it did not happen.

Every action, call, outcome, and incident must be logged in the CRM on the same day it occurs. This course teaches admins to build that discipline into every part of their daily routine.

Frequently asked question

To ensure every Star Sport admin understands exactly what must be done each day, in what order, and to what standard — from the first dashboard check in the morning to the final sign-off before logging out.

All Star Sport administrators who work in the CRM system, manage parent inquiries, process registrations, attend venues, or handle tryout and payment follow-ups.

Tryout calls and kids left calls. These two tasks are the admin’s first priority every day and must continue throughout the shift regardless of location — office, school, or venue.

Must Be Zero tasks must be fully actioned the same day. Work to Minimise tasks — such as overdue payments — are called and reduced every day but cannot always be resolved in a single shift. Both require logging every attempt and outcome.

Any unresolved Must-Be-Zero task carries over as the first responsibility of the following morning. If it cannot be resolved at all, it must be escalated to the manager before the admin closes for the day.

Because the entire team relies on the CRM to track students, payments, calls, and follow-ups. An unlogged action cannot be followed up, measured, or reviewed. The system is only as reliable as the data the admin puts into it.
